PRIVACY IMPLEMENTATION / SOLUTION GUIDE

Turn approved privacy requirements into day-to-day data workflows.

Make access requests, retention decisions and exception escalation operational—with legal interpretation kept in the right hands.

An engraved catalogue, source layers and magnifier; a metaphor for knowing what information exists.
CONCEPTUAL ENGRAVING / DATAGOVERNANCE.CA

Practical information and fictional examples for scoping, not claims of client work, measured results, independent assurance or certification.

Start with a real process, not a policy library

Privacy and data governance intersect when employees need to identify records, route approved requests, restrict access or apply retention decisions. Select one workflow such as responding to a customer data request or closing a vendor account. Confirm the authority and constraints with the organisation’s privacy or legal lead before designing operational steps.

Trace the request through known systems and copies

Define who receives the request, how identity or authority is verified by the responsible team, which systems must be checked, and how the completion evidence is recorded. Include manual exports, derivative datasets, caches or vendors where in scope. A system inventory is rarely perfect; record known gaps, uncertainties and handoffs instead of promising exhaustive coverage.

Define the exception and specialist route

Some requests conflict with obligations, legal holds, operational dependencies or technical limitations. The process should state who can decide or escalate those questions, not let an automated workflow guess. Access approvals need similarly explicit roles and negative test cases. A checkbox that says “deleted” should not be taken as proof that all copies were removed.

Test the workflow and maintain it

Walk a fabricated example through the full process with the relevant owner, custodian and privacy reviewer. Record which steps were observed, what could not be tested and which changes are approved. Provide a short playbook and review trigger for system or policy changes. This is implementation support, not a legal opinion or assertion of regulatory certification.

QUESTIONS BEFORE DECIDING

What buyers usually ask

Do you determine our legal obligations?

No. We operationalise requirements supplied or approved by appropriate advisers.

Can you delete every data copy?

Not without a defined inventory, access and tested scope.

Will these controls make us compliant?

No such guarantee or certification is provided.
