LIFECYCLE AND RETENTION / PRACTICAL FIELD NOTE

A data retention schedule needs a workflow, not just a number of years.

Translate approved retention decisions into owned actions, exceptions and records of completion.

An engraved hourglass and archive; a metaphor for the information lifecycle and review decisions.

Practical information and fictional examples for scoping, not claims of client work, measured results, independent assurance or certification.

Start with an authorised rule

Retention requirements depend on the information, purpose, agreements and applicable laws. Do not copy an arbitrary retention period from a generic internet table and assume it applies to all Canadian organisations. Ask the privacy or legal lead to confirm the authority for the rule and its exceptions. Record the scope, record class, event that starts the period, decision owner and required handling when the period ends.

Identify systems and derivative copies

A primary system may hold the record while analytics exports, backups, vendor repositories and AI indexes contain related copies. A retention workflow should describe which systems are in scope, who can act and what cannot be verified. Unknown connections should remain explicit. Don’t assume that a single delete button provides proof about every derived copy.

Handle the exceptions before automating

Legal holds, disputes, archival duties, continuity needs and technical limitations may change how a rule operates. Write the escalation point and approval conditions. An unattended automation should not decide that an exception has expired without the required authority. Use a synthetic example to walk through a normal case and an exception case.

Record evidence without overclaiming

Keep an action identifier, scope, authority, timestamp, systems actually changed, failures and unresolved residual data. Test that authorised staff can retrieve the record when permitted and cannot retrieve it after appropriately completed removal steps. Never describe a limited test as proof that all copies worldwide have been erased. Review the workflow whenever systems or requirements change.

QUESTIONS BEFORE DECIDING

What buyers usually ask

What is the right number of years?

It depends on the specific record class and governing requirements; qualified advice may be required.

Will one policy automatically remove everything?

No. Implementation and exception handling must be mapped and tested.
